Proof of visit for contractors who serve property managers

If you run a cleaning, security or landscaping company with property management clients, the manager rarely sees your crew working: cleaners at night, patrol guards at 2 AM, landscapers on a weekday morning. Their owners or strata council expect them to know the work was done, and they ask you for proof.

TeamProof gives you visit-level evidence to send them: a GPS check-in at the building, before and after photos, the time on site and an alert to you when a scheduled visit doesn't start.

What the property manager gets

Property managers don't log in to TeamProof. You share a private client visit report link for their properties. It opens without a login, shows visit times, GPS confirmation and photos, and stays open for 90 days. It never shows your workers' names, phones or pay.

If you hand some buildings to subcontractors, add them in TeamProof. Subs join free and only see the visits you send them, and their proof comes back to you.

What gets recorded on each visit

  • Check-in and check-out time
  • GPS location at check-in and check-out, checked against the building pin
  • Before and after photos, saved to the visit
  • The checklist for that building and service
  • A late reason if the worker is more than an hour off schedule

Catch missed visits before the manager does

The worst way to find out a crew skipped a visit is from the property manager. One hour after a scheduled start with no check-in, the visit gets a Missed tag and you get an email, so you can send someone. See missed visit alerts.

Contractors this is for

Helping managers report to owners and councils

Councils and owners want to know they're getting what they pay for. A link with dated photos is easier for a manager to share in a council meeting than a stack of invoices. See what property managers want in a cleaning report.

Getting started with one building

Pick the property manager client who asks the most questions. Pin their buildings, set the schedule, and send them the report link after the first week. Then add the rest of your sites one at a time.

What it doesn't do

TeamProof isn't a property management system. It doesn't handle leases, rent, tenant requests or accounting, and it doesn't do invoicing or payments yet (coming soon). It doesn't give property managers their own login or dashboard. It does one thing: proves that your scheduled visits happened.

Fair to your crews

TeamProof checks location against the site pin at check-in and check-out, with no tracking through the shift. Worker screens are simple, in English, Punjabi or Hindi, and never show prices. Read is GPS tracking employees legal in Canada? for the privacy side.

Built by a contractor

TeamProof was built at Sweepy Maids, a cleaning company in Metro Vancouver, to answer property managers' questions before they were asked. See the case study.
