How to build a janitorial quality control program
Quality control in janitorial work means knowing a clean was done to standard without inspecting every visit yourself. A simple program has five parts.

1. Written standards per site
Define what "clean" means for each area type: entrance, offices, washrooms, kitchen, floors. Specify frequency: nightly, weekly, monthly.
2. Checklists crews actually use
Turn the standards into a short checklist per visit. In TeamProof, each site's checklist is part of the visit.
3. Inspections and scoring
Inspect a sample of sites each week. Score each area pass/fail or 1 to 5. Track scores per site and per crew over time.
4. Proof on every visit
Inspections catch quality. Proof catches attendance: check-in and check-out time, GPS at the site pin, before and after photos. TeamProof records these automatically and flags Missed visits.
5. Close the loop with the client
Share results before they ask. A private client visit report link lets them see each visit.
Common mistakes
- Checklists too long to follow
- Inspections only after complaints
- No record of when issues were fixed
What TeamProof records on every visit
- Check-in and check-out times, recorded when the worker taps Check in and Check out
- GPS at check-in and check-out, checked against the pin you set for the site
- Before and after photos, saved to the visit
- The checklist for that site
- A late reason if the worker is more than an hour off the start time
- A Missed tag and an email if nobody checks in within one hour of the scheduled start
Clients can open a private client visit report link, no login needed, showing times, GPS and photos without worker names, phones or pay. Links stay open for 90 days.
Honest limits
- GPS is checked at check-in and check-out only. TeamProof does not track workers during the shift.
- Phone GPS has normal accuracy limits, especially inside large buildings. Pin the entrance you want crews to use.
- Photos prove what was photographed, so the checklist should say what to shoot.
- No quotes, invoices or payments yet. Payments and invoicing are listed as coming soon.
