How to prove your night cleaners actually showed up (without driving to the building at midnight)
Every commercial janitorial owner knows the sinking feeling of an 8:15 AM phone call from a property manager saying, "Nobody cleaned our offices last night." Here is how to eliminate no-show disputes permanently.
When you run a commercial cleaning business, 90% of your revenue happens when your clients are asleep. Offices, medical clinics, dealerships, preschools and clubhouses are cleaned between 7:00 PM and 5:00 AM. In the beginning, you might drive past buildings yourself to check on crews. But once you pass 5, 10 or 30 commercial sites, midnight spot-checks become impossible.
Most janitorial owners fall back on WhatsApp group chats or basic time-clock apps. Neither solves the real problem — because when a property manager complains on Monday morning, screenshots of a WhatsApp text don't save the contract.
Why WhatsApp groups and honor-system time clocks fail on night shifts
If you rely on cleaners texting "Done" in a WhatsApp chat or clocking in on a generic HR app, three failure modes happen every month:
- No early warning when a shift fails to start: If a cleaner oversleeps or has car trouble for a 9:00 PM building, nobody in your office notices at 9:30 PM. You find out from the angry client at 8:30 AM.
- "Drive-by" or short-changed visits: Without GPS verification at both check-in and check-out, a 3-hour scheduled clean can quietly turn into a 35-minute trash pull.
- Unusable proof for the client: You cannot forward an internal WhatsApp chat to a corporate property manager because it exposes your workers' personal names, phone numbers and internal chatter.
The 5-step night-shift verification system
At Sweepy Maids in Metro Vancouver, we replaced manual night-shift chasing with a simple 5-part workflow inside TeamProof:
1. Pin the exact building coordinates
Set a GPS site pin for each commercial property and define the scheduled start window (or flexible overnight window). Location is checked only when the cleaner taps Check in and Check out — so workers know they aren't being tracked during their personal day, and you know they were physically at the property.
2. Require timestamped before & after photos
Checkboxes are easy to tap from the parking lot; photos require walking the floor. Have your crew snap key areas on every visit — front lobby glass, washroom counters, restocked paper dispensers, lunchroom sinks and locked exit doors. On larger facilities, 30 to 50 quick photos take less than three minutes and settle any quality dispute before it starts.
3. Automate the 60-minute Missed-visit alert
Your software should watch the clock so you don't have to. In TeamProof, if a shift is scheduled for 8:00 PM and nobody has checked in by 9:00 PM, the visit is automatically tagged Missed and an email alert goes to the office.
4. Use 1-tap Call / Text / Nudge on late or unclosed visits
When an alert fires (either because someone is late or because they finished the clean and forgot to tap Check out), you shouldn't have to hunt for their phone number. On TeamProof's alert card, dispatchers tap Call, Text, or Nudge. A Nudge puts a message right on the cleaner's screen in their own language (English, Punjabi or Hindi), and they tap a 1-click reply: "On my way", "Running 15 min late", or "Already done, forgot to check out."
5. Give the property manager a private proof link
Instead of waiting for complaints, give every commercial client a private read-only link for their building. They see every visit's check-in time, check-out time, GPS verification and photos — while worker names, phone numbers, subcontractor identities and pay rates remain completely hidden.
Stop guessing whether last night's shift happened
TeamProof gives Canadian cleaning, snow removal, security and home care owners GPS check-in, before/after photo proof, 1-hour Missed alerts and private client links for CA$49/month flat (unlimited workers).
