Terms and Conditions
Last updated: October 18, 2026.
These terms are the agreement between you and Pk Technologies Inc., a British Columbia company, 333 Seymour St, Vancouver, BC V6B 5A6, Canada ("we", "us"), for using TeamProof, including the app at app.getteamproof.com and the website getteamproof.com (together, "TeamProof" or "the service").
By creating an account, accepting an invite, or using TeamProof, you agree to these terms and to our Privacy Policy. If you're agreeing for a company, you confirm you're allowed to bind that company, and "you" means the company.
Our promise to you: We and our affiliates, including any service company we own, will never use your data to contact your clients, bid on your work or compete with you. (See section 10.)
1. What TeamProof does
TeamProof helps companies prove their work got done. It is built for janitorial contracts, security patrols, snow removal and home care. Companies schedule visits, workers check in and out with GPS and take before and after photos, jobs can be passed to subcontractors, and clients get a private link to their visit reports. TeamProof also adds up pay from visits.
TeamProof is a business tool. It is not a payroll service, an accounting service, a staffing agency or an insurance product.
2. Who can use it
- Account owners must be at least 19 (the age of majority in British Columbia). Anyone who creates a company account, accepts these terms for a company, or adds office users must be 19 or older and able to enter a binding contract.
- Workers must be at least 16. Workers use TeamProof under their employer's account; the employer has accepted these terms and is responsible for its workers' use. Companies must not add anyone under 16 as a user.
- Company accounts are for businesses, not for personal or household use.
- You must give true information, including a mobile number you own.
3. Types of users
- Company (owner and office users): the business that signs up. It controls its account, adds its workers, clients and properties, and is responsible for everything done under its account.
- Workers: employees or a subcontractor's own workers, added by a company. Workers use TeamProof under their company's account.
- Subcontractors: companies invited by another company (the "contractor") to do some of its jobs.
- Clients: the contractor's customers, who see visit reports through a private link.
4. Your account and security
- You log in every day with your mobile number and a PIN. We text you a one-time code only to confirm your phone number: when a company signs up, on your first login (when you choose your own PIN), when you use "Forgot PIN", and when you change your phone number. Normal daily logins don't send a code.
- On your first login you must choose your own PIN. Easy PINs (such as 1234, repeated digits, or the last digits of your phone number) aren't accepted.
- Keep your PIN secret and don't share accounts. Each person needs their own login.
- Tell us right away at support@getteamproof.com if you think someone else has used your account.
- You are responsible for activity under your account, unless it was caused by our own failure.
5. Free trial, price and payment
- New companies get a 30-day free trial. No card is needed for the trial.
- After the trial, TeamProof costs CA$49 per month per company, for one plan with everything included, plus applicable taxes (such as GST and PST). Prices are in Canadian dollars.
- The monthly price includes unlimited workers and reasonable photo storage for normal business use. If an account's storage use is unusually heavy, we may contact you to talk about it.
- Invited subcontractors can do the jobs passed to them for free. To add their own clients or pass jobs to their own subs, they start their own 30-day trial and then pay the same monthly price.
- Paid plans are billed monthly in advance by card through our payment provider. Online card payments aren't switched on yet; until they are, we'll contact you about how to pay, and we'll tell you before your first charge.
- You can cancel anytime from Settings. Cancelling stops future charges. We don't refund part-months unless the law requires it.
- We may change prices with at least 30 days' notice by email or in the app. The new price applies from your next billing period after the notice.
- If payment fails, we may limit your account until it's paid.
6. Your responsibilities as a company
You are responsible for:
- Telling your workers and getting their consent. Before your workers use TeamProof, you must tell them it records their location at check-in, check-out and when they take photos, their visit times, their photos and their pay, and why. You must get any consent that BC's Personal Information Protection Act, PIPEDA, employment standards or a collective agreement requires. Our in-app worker notice helps, but it does not replace your own notice.
- Your clients' and contacts' information. You must have permission to add your clients' and property contacts' details, and to send them visit reports.
- Photos. Photos should show the work, not people. Don't take photos of people, inside private areas, or of anything you don't have the right to photograph.
- Access notes. If you store door codes or key instructions, only share them with workers who need them.
- Accuracy. Check the schedules, rates, hours and pay totals before relying on them.
- Your legal duties. Employment, pay, tax, WorkSafeBC, licensing and contract duties remain yours. TeamProof does not check whether you or your subcontractors are licensed, insured or in good standing with WorkSafeBC.
7. Workers
If you're a worker, your company decides how you use TeamProof and controls your records. Questions about your schedule, pay or records go to your company first. You agree to check in and out honestly, from the site, and not to use another person's login.
8. Subcontracting and the client lock
TeamProof lets a contractor pass jobs to a subcontractor while keeping each company's clients and workers private:
- Subcontractors see only the jobs passed to them and the price they're paid. They don't see the contractor's other clients, prices, other subs or workers.
- Contractors see proof for the jobs they passed on, under the sub company's name. They don't see the sub's worker names, phone numbers or pay.
- Clients don't see who the work was subcontracted to.
You must not use TeamProof to poach clients. In particular, you must not:
- Use client, property or contact details you see through a passed job to approach that client directly or take the work, except as your own separate agreement with the other company allows.
- Sign up, or get someone to sign up, using another company's client's phone number or details to take over that client.
- Try to get around the client lock, or see information you weren't given.
A company can move a client and its properties into its own account only through TeamProof's own invite process. Any dispute between a contractor and a subcontractor about clients, work or payment is between those companies. We are not a party to their contracts, but we may suspend accounts that break this section.
9. Acceptable use
You must not:
- Fake proof: use fake-GPS or location-spoofing apps, check in for someone else, upload old, edited or other people's photos, or otherwise make a visit look done when it wasn't.
- Break the law, including privacy, employment, anti-spam (CASL) and human rights laws.
- Upload anything harmful, such as viruses or files disguised as photos.
- Try to get into accounts or data that aren't yours, guess PINs, or test our security without our written permission.
- Overload, scrape, copy or reverse-engineer the service, or use it to build a competing product.
- Harass anyone, or use workers' or clients' information for anything other than running your work.
- Resell or share access to TeamProof without our written permission.
- Store medical or health records in notes, photos or any other field. TeamProof isn't built to hold health records.
10. Your data
- Our promise. We and our affiliates, including any service company we own, will never use your data to contact your clients, bid on your work or compete with you.
- You're in control. We process your data only on your behalf and follow your instructions to provide TeamProof. You're responsible for collecting it lawfully, telling your workers and clients about it and getting any consent the law requires (see section 6).
- You own your data. The information you put into TeamProof (your workers, clients, properties, visits, photos and pay) belongs to you. You give us permission to store, process, display and back it up only to run, secure and improve the service for you, and as our Privacy Policy describes.
- Export. Company owners can ask for a copy of their data by emailing support@getteamproof.com. There's no self-serve export button yet, so we'll send you a file within 30 days.
- Deletion. When you close your account, we delete or anonymize your data as set out in the Privacy Policy. Download anything you need to keep before closing your account. You can also ask us to delete older photos and records sooner.
- Legal requests. We may keep or disclose data if a court order or the law requires it. Where the law allows, we'll tell you first.
- How long we keep it. Our retention periods (photos and locations, removed workers, unpaid trials, closed accounts, logs) are listed in section 11 of the Privacy Policy.
- Feedback. If you send us ideas or feedback, we may use them freely.
11. Text messages and emails
By giving us a mobile number, you agree we may text it one-time security codes (sign-up, first login, "Forgot PIN" and phone number changes). Codes are sent by our text provider, Twilio. Carrier rates may apply. TeamProof also sends service emails, such as visit reports to the client contacts you choose and missed-visit alerts to your office. We'll only send marketing messages with consent, as CASL requires.
12. Service availability
We work to keep TeamProof running, but we don't promise it will always be available, error-free or fast. It depends on phones, mobile networks, GPS and outside providers (such as hosting, database, email and text providers) that we don't control. We may take it down for maintenance or updates, and we may change or remove features. If we remove a major feature you pay for, you may cancel and get a refund for any prepaid time you haven't used.
GPS isn't perfect. Location can be off, especially indoors, and the "inside site" check is an aid, not proof. Missed-visit alerts and emails can be delayed or not arrive. Don't rely on TeamProof alone where safety is at stake, for example for lone-worker safety checks or medical care.
13. No guarantee of pay or payroll accuracy
TeamProof adds up pay from the visits, times and rates you enter. It doesn't check them against employment standards, overtime, vacation pay, statutory holidays, minimum wage, deductions or tax rules. You are responsible for checking pay totals and paying your workers and subcontractors correctly. We're not responsible for underpayments, overpayments or penalties based on TeamProof's numbers.
14. Suspension and termination
- You can stop using TeamProof and cancel at any time.
- We may suspend or close an account, with notice where reasonable, if it breaks these terms (especially sections 8 and 9), doesn't pay, puts others at risk or is required by law. If it's serious, such as client theft, fake proof or a security attack, we may act right away.
- When a company's account closes, its workers' logins for that company stop working. A subcontractor's jobs from that contractor stop too.
- After closing, we delete or anonymize the company's data within 90 days, as set out in section 11 of the Privacy Policy. Sections that by their nature should survive (such as payment owed, liability limits, and disputes) keep applying.
15. Disclaimer
Except as these terms say, TeamProof is provided "as is" and "as available". To the extent the law allows, we make no other promises, including that it is fit for a particular purpose, or that it will win or keep contracts, prove a claim or settle a dispute with a client.
16. Limitation of liability
To the extent the law allows:
- We're not liable for indirect or consequential losses, such as lost profits, lost contracts, lost data, business interruption, or claims between you and your workers, subcontractors or clients.
- Our total liability for all claims about TeamProof is limited to the amount you paid us in the 12 months before the claim, or CA$100 if you haven't paid anything.
- These limits don't apply where the law doesn't allow them, for example for fraud or wilful misconduct.
17. Indemnity
You cover us. You agree to cover our reasonable costs and losses (including legal fees) from claims by others that arise from your data, your breach of these terms, or your dealings with your workers, subcontractors or clients, including any failure to give notice to or get consent from your workers.
We cover you for IP claims. If someone claims that the TeamProof software, as we provide it, infringes their copyright, patent, trademark or other intellectual property right, we'll defend you and pay the costs and damages a court awards (or a settlement we agree to). This doesn't apply to claims caused by your content or data, changes made by anyone other than us, or combining TeamProof with something we didn't provide. If there's a claim, we may change TeamProof so it no longer infringes, get you the right to keep using it, or end your subscription and refund any prepaid time you haven't used. To get this cover, tell us promptly about the claim, let us control the defence, and help us reasonably. This cover is subject to section 16 (Limitation of liability), to the extent the law allows.
18. Changes to these terms
We may update these terms. For important changes, we'll tell company owners by email or in the app at least 30 days before they take effect. If you keep using TeamProof after that, you accept the new terms. If you don't agree, you can cancel before they take effect.
19. Governing law and disputes
These terms are governed by the laws of British Columbia and the federal laws of Canada that apply there. Before going to court, please contact us at support@getteamproof.com and we'll try to sort it out in good faith within 30 days. Any court case must be brought in the courts of British Columbia sitting in Vancouver, and you and we accept those courts' jurisdiction.
20. General
- These terms and the Privacy Policy are the whole agreement between us about TeamProof.
- If part of these terms can't be enforced, the rest still applies.
- If we don't enforce something right away, we haven't given up the right to do so later.
- You can't transfer these terms without our written OK. We may transfer them if our business is sold or reorganized, and we'll tell you.
- Neither of us is liable for delays caused by events outside reasonable control, such as outages at providers, natural disasters or network failures.
