Commercial cleaning software built for Vancouver night crews

TeamProof wasn't designed in a boardroom. It was built inside Sweepy Maids, a cleaning company in Metro Vancouver, to handle the part of commercial cleaning that no one sees: crews working across Vancouver, Burnaby and Surrey after the tenants go home. It's used there every day.

If you run commercial cleaning in the Lower Mainland, this page explains what we learned and how the software handles it. For janitorial-specific details across BC, see janitorial software for Vancouver and BC.

What's different about commercial cleaning here

Long dark winter evenings and wet entrances

From November to February it's dark well before most commercial cleans start, and the rain brings grit and water through every lobby. Property managers notice entrances and floors first. Before and after photos of entry mats and floors are the fastest way to show a building was done properly.

Spread-out routes

A night route can cross from downtown Vancouver to Burnaby to Surrey. You can't drive to every site to check. GPS check-in against each building's pin tells you who actually arrived where, without phoning anyone.

Multilingual crews

Many Lower Mainland cleaning crews are more comfortable reading Punjabi or Hindi than English. TeamProof's worker screens come in English, Punjabi and Hindi, with big buttons and phone and PIN login.

Strata, offices and mixed-use buildings

Vancouver has a lot of strata and mixed-use property, often with a manager reporting to a council or owner. Those managers want something they can forward. See strata cleaning verification and what property managers want in a cleaning report.

How a night works in TeamProof

  1. Set up the site. Pin the building on the map and set its schedule: fixed, flexible or overnight. Several visits a day at one site are fine.
  2. The cleaner checks in. Phone number and PIN, one big Check in button. Location is checked against the pin at check-in.
  3. Photos and checklist. One-tap before and after photos, saved to the visit, plus the checklist for that site.
  4. Check out. Location is checked again. That's it for GPS; it isn't tracked through the shift.
  5. The office sees it. The Today screen shows visits, who is on site and the week. More than an hour off schedule? The cleaner picks a reason.
  6. Missed visits surface. No check-in an hour after the start, and the visit gets a Missed tag and you get an email, so you can reassign before morning.
  7. Clients get proof. A private link shows times, GPS and photos, without worker names, phones or pay.

Subcontractors on your Vancouver routes

Plenty of local cleaning companies pass some buildings to subs. In TeamProof, subs join free and only see the visits you send them and their price. Their proof still comes back to you, and your client never sees who did the work. See cleaning subcontractor management.

Privacy, the BC way

BC's private-sector privacy law (PIPA) expects employers to be reasonable and open about collecting employee information like location. TeamProof keeps location to check-in and check-out against the site pin. Our guide is GPS tracking employees legal in Canada? covers this in plain language; it isn't legal advice.
