Proof of service for landscaping crews

Landscape maintenance is recurring work with a visible result that fades fast. You mow on Tuesday, it rains Wednesday, and by Friday a commercial client or strata manager wonders whether anyone came this week. Without a record, you're arguing over grass height.

TeamProof gives each property visit a record: the crew's GPS check-in at the property, before and after photos, a checklist and the time on site. It's the same visit flow we built for janitorial and snow crews, and it fits maintenance routes well.

Weekly routes, one visit at a time

Most maintenance contracts run on a fixed rhythm: weekly mows in season, biweekly bed maintenance, monthly shrub work, seasonal cleanups. In TeamProof:

  • Each property gets a pin on the map and its own schedule.
  • Fixed or flexible schedules fit weather-driven work. Change one day, keep the rest, so a rain-delayed Tuesday can move to Wednesday without rebuilding the season.
  • Properties with more than one service get more than one schedule.

What the crew does at each stop

  1. The crew lead logs in with phone and PIN.
  2. Taps Check in; location is checked against the property pin.
  3. Takes before photos: front lawn, beds, edges, problem spots.
  4. Works the checklist: mow, edge, trim, blow, beds, debris removal.
  5. Takes after photos.
  6. Taps Check out; location checked again.

The photo step moves on by itself after each tap, so it doesn't slow a crew that's trying to hit fifteen properties before 3 PM.

Disputes landscapers actually get

  • "You didn't come this week." Answered by the GPS check-in and times.
  • "You skipped the back yard." Answered by after photos, if the checklist names the back yard.
  • "You were only here ten minutes." Answered by check-in and check-out times, which show time on site.
  • "The beds weren't done." Answered by a checklist item and photos.

When a visit doesn't happen

If a crew hasn't checked in an hour after a scheduled start, the visit gets a Missed tag and you get an email. For a landscaping company, that usually means a truck broke down or a crew is running behind, and you can reassign the property from the visit before the client notices. See missed visit alerts.

Client proof without exposing your crew

Commercial and strata clients can get a private client visit report link showing visit times, GPS and photos. They never see your crew's names, phone numbers or pay, which also makes it harder for a client to hire your best crew lead on the side.

Subcontracted properties

If you hand some properties to another crew in peak season, they can join as a subcontractor for free and see only their visits and price. Their proof still comes back to you. See subcontractor verification.

Pay per visit or per hour

You can set pay per schedule: per visit, per hour or per month, per person. Workers never see your prices.

Year-round with snow

Many landscaping companies switch to snow removal in winter. The same TeamProof account covers both. See snow plowing documentation and snow removal proof.

What TeamProof doesn't do

No quoting, estimating, invoicing or payments yet (those are coming soon), and no materials or equipment tracking. Many landscapers keep a field-service tool for billing and use TeamProof for proof. It works alongside Jobber, and a Jobber connection is coming soon.
