How to prove a security patrol actually happened
Clients pay for patrols they rarely see. When something goes wrong overnight, the first question is whether the guard was there. A good patrol record answers it in seconds.

What a patrol record needs
- Which site or stop
- Arrival and departure time
- Location confirmed at the stop
- A photo of the area or anything unusual
- Notes on incidents
Paper logs and why they fail
Paper logs can be filled in later, from anywhere, and are hard to share. They're better than nothing, but they don't hold up when a client disputes a visit.
NFC and QR tags
Guard tour systems often use tags at each checkpoint. They work, but need hardware installed and maintained at every site.
Phone GPS check-in at each stop
Make each stop a property in TeamProof. The guard checks in with GPS against the stop's pin, takes photos, and checks out. If a scheduled stop doesn't start within an hour, it's tagged Missed and you get an email. More on mobile patrols and our security guard tour app.
Share it with the client
A private report link shows the client times, GPS and photos without your guards' names, phones or pay.
What TeamProof records on every visit
- Check-in and check-out times, recorded when the worker taps Check in and Check out
- GPS at check-in and check-out, checked against the pin you set for the site
- Before and after photos, saved to the visit
- The checklist for that site
- A late reason if the worker is more than an hour off the start time
- A Missed tag and an email if nobody checks in within one hour of the scheduled start
Clients can open a private client visit report link, no login needed, showing times, GPS and photos without worker names, phones or pay. Links stay open for 90 days.
Honest limits
- GPS is checked at check-in and check-out only. TeamProof does not track workers during the shift.
- Phone GPS has normal accuracy limits, especially inside large buildings. Pin the entrance you want crews to use.
- Photos prove what was photographed, so the checklist should say what to shoot.
- No quotes, invoices or payments yet. Payments and invoicing are listed as coming soon.
