Proof for every office clean, even the ones nobody sees

Office cleaning has a visibility problem. The work happens after 6 PM, the tenants are gone, and the only people who see the result are the ones who arrive the next morning and notice what wasn't done. Nobody notices the forty things that were.

TeamProof gives office cleaning companies a record of each clean: when the crew arrived, that they were at the building, what each area looked like before and after, and when they left. And it tells you on the night when a clean doesn't start.

The office cleaning night, recorded

  1. The building is pinned and has its schedule: maybe five nights a week at 7 PM, plus a Saturday deep clean.
  2. The cleaner arrives and logs in with phone and PIN. One tap on Check in, and the location is checked against the building pin.
  3. Before photos of the areas that matter most: reception, washrooms, kitchen, boardroom.
  4. The checklist for that office: garbage and recycling, washroom restock, desks, floors.
  5. After photos, saved to the same visit.
  6. Check out, location checked again.

The office manager can open a private client visit report link to see times, GPS and photos, without seeing the cleaner's name, number or pay.

What office managers actually complain about

From our own experience running commercial cleans at Sweepy Maids in Metro Vancouver, office complaints usually fall into a few buckets:

  • "Nobody came last night." Answered by check-in GPS and times, or caught by a missed visit alert before morning.
  • "The kitchen wasn't done." Answered by after photos of the kitchen.
  • "Garbage wasn't taken out." Answered by a checklist item and a photo.
  • "Your cleaner left the door unlocked." A locked-door photo on the checklist helps here.

Proof doesn't stop every complaint. It turns arguments into a quick look at the record.

Multi-floor and multi-tenant offices

Bigger offices and multi-tenant buildings often have several cleans in a day, or separate tenants with their own scope. TeamProof handles several visits a day at one site: add a second time to a schedule or more schedules to a property. Each visit gets its own check-in and photos.

Catching no-shows the same night

One hour after a scheduled start with no check-in, the visit gets a Missed tag and you get an email. If the 7 PM clean hasn't started by 8 PM, you can call the cleaner or reassign it from the visit, while there's still time to get someone in.

Night crews, subs and languages

Office cleaning crews are often part-time and multilingual, and some buildings are subcontracted. TeamProof is built for that:

  • Unlimited workers on one plan (see current pricing)
  • Subcontractors join free and see only their visits and price
  • English, Punjabi and Hindi worker screens
  • No prices on worker screens

A checklist that produces useful photos

The best proof comes from a clear list of what to photograph. Use our janitorial checklist template as a starting point and adjust it per office.

What TeamProof doesn't do

It doesn't quote, invoice or take payments yet; those are coming soon. It doesn't manage supplies. Many cleaning companies keep their billing tool and add TeamProof for proof. It works alongside Jobber, and a Jobber connection is on the way.

FAQ

Frequently asked questions

How does TeamProof prove an office was cleaned?

Each visit records check-in and check-out times, GPS at the building pin at those moments, before and after photos and the checklist.

Can the office manager see the proof?

Yes, through a private client link that hides worker names, phones and pay.

What if a cleaner doesn't show up?

An hour after the scheduled start with no check-in, the visit is tagged Missed and you get an email.

Can I have more than one clean a day at one office?

Yes. Add a second time to the schedule or another schedule to the property. Each visit has its own proof.
